Public-name moderation

When an administrator resets a Public Rip Name for not respecting our username guidelines, we store the temporary anonymous name, the reset date and time, a pending name-change flag, and warning-dismissal timestamps. A private administrative audit records the administrator, previous and replacement public names, reason, and time. These records support moderation and account administration; they are not displayed publicly. Dismissing the warning hides it for the current login but does not clear the pending name-change requirement. Choosing a new, compliant name clears the pending warning, while required audit history is retained. A public-name reset does not alter your saved shipping details.

1. Information we collect

  • Account information: immutable account identifier, public Rip Name, email address, email-verification status, optional avatar and phone, securely hashed password credentials, active sessions, saved addresses, and account-security records such as verification and password-reset tokens. If you choose Google sign-in, we also receive your verified email, Google profile name and image, Google account identifier, and authentication tokens required to complete and maintain that sign-in. An anonymous starter Public Rip Name (Ninja followed by random numbers) is generated independently of your real name, email and Google account identifier. You can change it in account settings. Public names are checked for vulgar, racist, hateful or offensive words. Recognizable older Google-derived starter names may be replaced with anonymous names to protect privacy; private order, delivery and audit records remain retained for their original purposes.
  • Ninja Club membership information: current and scheduled plan, membership status, Stripe customer, subscription and price identifiers, trial eligibility and dates, billing period dates, first paid invoice, cancellation status, tier-change effective dates, invoice or proration results, status-change dates, benefit snapshots, and synchronization records. Stripe processes payment methods and complete card details; NinjaRips.TV does not store complete card numbers.
  • Referral information: permanent referral code, referring and referred account identifiers, referral-attribution date and expiry, email-verification and membership-trial milestones, qualifying paid Stripe invoice, referral status, and reward-processing status. A referred account can have only one referrer.
  • Giveaway eligibility and entry information: current giveaway opt-in status, original server-recorded acceptance date and time, latest opt-in and preference-update timestamps, accepted general policy version and conditions snapshot, checkbox confirmations of age 18 or older and residence in Canada or the United States, draw-specific rules version and snapshot, entry method, entry count, verification result, membership eligibility where a giveaway requires it, draw records, public Rip Name, winner status, claim deadlines, and private winner-administration notes. We do not collect or store birth dates or a separate declared country or province/state of residence for giveaway participation.
  • YouTube comment-verification information: giveaway video identifiers and title; public top-level comment ID and text; normalized comment text; public author channel identifier and display name when supplied by YouTube; published and updated times; whether the comment remains present; the Rip Name and account match; membership and eligibility snapshots; scan results; and audit timestamps. We do not ask for a YouTube password, connect a customer's YouTube account, read private YouTube data, or post on a customer's behalf.
  • Orders, saved addresses and contact information: recipient real name, email, required phone number, saved billing or shipping addresses, selected checkout address, order number and account identifier; pack, live-rip and Singles products, game, set, card number, variant, finish, condition, language, SKU allocations, quantities and unit prices; item subtotal, discounts, shipping, taxes, total and currency; inventory holds and sale or return records; payment, fulfillment, cancellation, refund and archive status; refund reasons and selected card quantities; order PDFs, communications and administrative audit history. These purchases are connected to the signed-in account that placed them. A public Rip Name is separate from the recipient name used for contact and delivery.
  • Ninja Points information: point transactions, active checkout reservations, earning and redemption calculations for eligible pack, live-rip and Singles purchases, purchase-time earning-rate and membership snapshots, source orders, descriptions, expiration dates when enabled, refund reversals, membership multipliers, and administrator adjustments with their required audit reason.
  • Sponsor identity, access, and agreement information: sponsor organization and portal-user details; role and access status; invitation, magic-link, and session records; campaign, deliverable, and agreement-version snapshots; the authorized signer's name, title, company, and email; the acceptance statement and version; server timestamp, IP address, user agent, and append-only event history; and the immutable signed PDF and its integrity hash.
  • Sponsor billing and invoice information: legal company name; billing contact name and email; billing address; country, province or state, and postal or ZIP code; optional tax identifier; preferred and invoiced currency and payment method; Stripe customer, invoice, hosted-page, PDF, and payment identifiers; invoice number, dates, line items, quantities, amounts, taxes, totals, status, and notes; wire-sent reports, amount and date received, optional payment reference, and administrator confirmation; paid receipt number, PDF, integrity hash, and delivery status; and campaign payment requirements, override reasons, timestamps, and audit history.
  • Marketing preferences: email address, first name, signup source, consent date, subscription status, unsubscribe date, suppression status, and campaign delivery records such as send status and provider identifiers.
  • Payment information: Stripe processes payment-card and Canadian bank-debit details, verification, and mandates. We receive transaction identifiers, payment and subscription status, amount, currency, refunds, and limited card or payment-method information when provided by Stripe; we do not store complete card numbers or sponsor bank-account credentials. For an external sponsor wire, we record the invoice, sponsor-reported status, payment reference where supplied, and NinjaRips' confirmation of the amount and date received.
  • Shipping information: recipient name and contact details, destination, package dimensions and weight, item quantities and declared values, selected rate and currency, carrier, shipment preparation, label, tracking number, and delivery status.
  • Website and campaign activity: pages viewed, anonymous visitor and session identifiers, referring page, traffic source, campaign tags, approximate country/region/city, device type, browser, operating system, language, screen width, sponsor tracking-link destinations and placements, Short.io link identifiers, and related click and conversion measurements.
  • Messages: information submitted through contact and sponsorship forms.

2. How we use information

We use information to operate the website and secure customer and sponsor accounts; manage Ninja Club subscriptions, tier changes, trials, billing status, early access, and benefits; verify giveaway eligibility and current account opt-in, record rules acceptance and age and residence confirmations, enforce prize claim deadlines and forfeiture; match public YouTube comments to account Rip Names; record free entries; rescan qualifying comments; conduct secure, auditable draws; contact, verify, and fulfill winners; provide products and live rips; reserve inventory and Ninja Points during checkout; prefill Stripe Checkout from your selected saved recipient address; process payments and full, card-selected partial or amount-only partial refunds; calculate and audit Ninja Points earning, redemption and membership multipliers on eligible packs, live rips and Singles; provide private account order history and order PDFs; administer sponsor relationships and execute sponsorship agreements; preserve signing evidence and securely deliver signed PDFs; create, deliver, reconcile, and audit sponsor invoices; display authenticated wire instructions; confirm external payments; determine campaign financial clearance; generate and deliver paid receipts; calculate shipping; create labels; send transactional emails; provide customer support; prevent abuse and fraud; maintain inventory and business records; improve site performance; measure sales, traffic, campaign attribution, and sponsor performance; and comply with legal obligations.

Giveaway entry never enrolls you in marketing by itself. If a giveaway form offers a separate, optional marketing choice, we record that preference only when you expressly select it. Declining marketing does not affect eligibility, odds, or winner selection.

When you expressly opt in through the footer form, a giveaway form, or another recorded signup, we use your name and email to send newsletters, merchandise announcements, live-rip dates, product drops, and similar NinjaRips.TV promotions. Marketing consent is optional and is not required to place an order or enter a giveaway.

Every marketing message identifies NinjaRips.TV, includes our mailing address, and provides a way to unsubscribe from all future marketing. Unsubscribing does not stop transactional messages about a giveaway entry or win, order, payment, membership, sponsor campaign, invoice, receipt, shipment, delivery, support request, or other service you asked us to provide.

We do not infer gender from browsing activity. We do not sell personal information.

3. Accounts, cookies, local storage, and analytics

Customer accounts use secure, HTTP-only session cookies so you can remain signed in and access protected order information for all NinjaRips-managed order types. Sponsor Portal access uses time-limited sign-in or invitation links and a secure, HTTP-only organization-scoped session cookie. A valid referral link may set a signed, HTTP-only attribution cookie for up to the configured attribution period, currently 30 days. The first valid, unexpired referral attribution is used only when a new account is created; clicking a referral link later does not normally assign a referrer to an existing account.

Reserving a photographed Single also sets a first-party, HTTP-only cart cookie lasting up to seven days. It identifies the cart, not a seven-day inventory hold. On our server, we store a hash tied to the signed-in account, the exact unit and SKU, the reservation deadline and lifecycle timestamps, the saved price, condition, notes and immutable photo references, and the associated order when checkout starts. These records prevent competing purchases and preserve exact-card order evidence. Expired holds do not keep a card reserved; clearing browser storage does not itself erase server reservation or order history.

The site also uses first-party browser storage for the shopping pouch and anonymous visitor/session identifiers. Analytics measure page views, add-to-pouch activity, checkout starts, purchases, acquisition sources, geography, and device information. Anonymous analytics identifiers are separate from customer-account credentials and are not authority for referral attribution.

Merchandise is sold and fulfilled through Fourthwall. NinjaRips accounts do not provide Fourthwall checkout or merch order history, and merchandise does not earn Ninja Points. For a limited Ninja Club merch campaign, NinjaRips stores the campaign, eligible tiers and trial rules, the eligible account identifier, the generated one-time code, the related Fourthwall promotion identifier, expiry and redemption status, and synchronization details needed to issue, monitor, and deactivate that promotion. Fourthwall processes its storefront and checkout data under its own privacy practices.

4. Service providers and disclosures

We disclose only the information reasonably needed for providers to perform services for us. These providers include Google for optional account authentication; Stripe for consumer payments, subscriptions, sponsor customers and invoices, hosted invoice pages, Canadian bank-debit collection and mandates, billing management, refunds, and prefilled customer contact and shipping details; Shippo for rates, recipient contact and address details, package dimensions, weight, quantities, declared values and shipment or label preparation; Canada Post for NinjaRips-managed delivery; Fourthwall for its separate merchandise storefront, promotions, and fulfillment; Resend for transactional, form, receipt, and marketing-email delivery and scheduling; Short.io for sponsor tracking links and related click measurements; YouTube and the YouTube Data API for public video, livestream, and top-level comment information used by enabled giveaway entry methods; and website hosting, infrastructure, security, storage, and analytics providers.

Google sign-in is separate from YouTube comment verification. For YouTube comment giveaways, NinjaRips compares public comment data returned by YouTube with the exact Rip Name stored in a verified NinjaRips account. A match links the giveaway evidence to that NinjaRips account. The comment check does not connect the YouTube account to NinjaRips through OAuth, grant NinjaRips access to private YouTube data, authorize posting, or require Google sign-in. Information may also be disclosed to professional advisers, regulators, courts, law enforcement, financial institutions, or another party where required by law or reasonably necessary to protect rights, process or confirm an authorized transaction, maintain security, or preserve the integrity of the store and sponsor services.

5. International processing

Some providers may process information in Canada, the United States, or other jurisdictions. Information processed elsewhere may be subject to the laws and lawful access rules of that jurisdiction. We use providers and safeguards appropriate to the services involved.

6. Retention and security

For giveaway entries we keep the member's acceptance timestamp, residence checkbox confirmation, rules version and a snapshot of the accepted rules and age, residence and prize claim conditions. For prize claims we record confirmation of age and the complete recipient mailing address, claim and confirmation times, selection time, winner-specific deadline and any forfeiture decision. These records are used for eligibility verification, prize delivery, deadline enforcement and auditability. Members can view their own acceptance receipt and claim status in Account → Giveaways. They are not published to other members. Claim emails and reminders are transactional and separate from optional marketing consent.

We retain information only as long as reasonably required for giveaway administration and auditability, membership and order administration, sponsor-agreement and invoice administration, fulfillment, customer support, fraud prevention, accounting, tax, dispute resolution, legal compliance, and legitimate business records. Retention periods depend on the type of record, the reason it was collected, contractual and legal requirements, limitation periods, security needs, and whether an account, order, campaign, invoice, or dispute remains active. Information that is no longer required is deleted, anonymized, or securely disposed of under our retention practices.

Archived, cancelled, failed-checkout and refunded orders may remain in the protected order record, together with payment identifiers, point reservations and ledger entries, inventory sale or return history, refund reasons, selected card quantities and administrative audit events where needed for the purposes above. Archiving or cancelling an order does not erase this history. Deleting a giveaway from active lists does not erase published rules, entries, YouTube comment-verification evidence and observations, draw history, winner-status changes, or administrative audit records that must be preserved to document the promotion's integrity. Expired or used authentication links and revoked or expired sessions may be retained for a limited period where needed for security, fraud prevention, and auditability.

Accepted sponsor agreements, signed PDFs, integrity hashes, signer evidence, invoices, payment confirmations, paid receipts, and append-only event histories may be retained for the life of the applicable relationship and afterward for accounting, tax, contract enforcement, dispute-resolution, audit, and legal-retention requirements. Access is restricted according to role and purpose to authorized NinjaRips administrators, organization-scoped sponsor users, and, where applicable, a signer through a time-limited secure link. Sponsor wire instructions are encrypted at rest and disclosed only to authorized administrators and authenticated sponsor users associated with an eligible unpaid external-wire invoice. NinjaRips does not store complete sponsor bank-account credentials used for Stripe bank debit.

A comment removed from YouTube may be marked as no longer present while prior scan and matching evidence remains in the protected giveaway audit record. Public pages expose only a winner's chosen Rip Name; eligibility, identity, contact, comment-verification, membership, sponsor billing, and administrative records remain private unless disclosure is authorized or required by law.

After a marketing unsubscribe or administrative removal, we may retain a minimal suppression record and consent history so the address is not added or emailed again without fresh consent and so we can demonstrate that the request was honoured. We use administrative, technical, encryption, access-control, rate-limiting, integrity-checking, and audit safeguards appropriate to the sensitivity of the information, but no internet system can be guaranteed completely secure. If a breach creates a real risk of significant harm, we notify affected individuals and regulators and keep the required records as applicable law requires.

7. Your choices and rights

You can unsubscribe from all marketing through the link in any marketing email. An unsubscribed address remains on our suppression list until you provide fresh consent to subscribe again. The unsubscribe applies to promotional messages, not necessary order, membership, account-security, sponsor-campaign, invoice, receipt, or service communications.

You can manage saved recipient names, phone numbers and addresses in your account and view your NinjaRips-managed orders and available tracking in Your Orders. Public order lookup is not provided. You can manage Ninja Club billing and cancellation through the Stripe customer portal and request an available tier change through your NinjaRips account. Trial changes keep the original trial end date, paid upgrades may create an immediate prorated invoice, and paid downgrades are normally scheduled for the next billing period. Authorized sponsor managers may update available billing contact and address information through the Sponsor Portal. You control a public YouTube comment through YouTube; removing or changing a qualifying comment may affect giveaway eligibility, but it does not automatically erase prior verification or audit records already received by NinjaRips.

Depending on where you live, you may request access to or correction of personal information, ask how it has been used or disclosed, withdraw consent where applicable, or request deletion subject to contractual, legal, security, accounting, and operational retention requirements. You may clear browser storage through your browser, but doing so can reset your pouch and analytics identifiers.

NinjaRips.TV's Privacy Officer is accountable for privacy questions, requests, and complaints. Contact the Privacy Officer through our Contact Us page, select “Privacy request,” or email business@ninjarips.tv. Provide enough information for us to verify the request and identify the relevant records. If you are not satisfied with our response, you may challenge our compliance with the applicable privacy regulator.

8. Giveaway choices, consent and age limits

Giveaway participation is a separate account choice, not a marketing subscription. You can opt in or remain opted out during signup and change your choice in Account → Giveaways or Settings. The opt-in modal asks you to confirm age 18 or older, residence in Canada or the United States, the general Giveaway Rules, and the ten-day claim deadline and forfeiture conditions. These are checkbox self-declarations only; we do not ask for or store a birth date or a separate country of residence. A winner must supply a delivery address in Canada or the United States; prizes will not be shipped elsewhere. Declining giveaway opt-in does not stop you from using your account, shopping or managing a membership.

We retain your current opt-in status, the latest preference update and opt-in timestamps, the accepted general policy version and conditions snapshot, and the original server-recorded acceptance date and time. Draw records also retain the applicable published rules, entry evidence and eligibility snapshot. A valid account-level acceptance is reused for later draws and when re-opting in; we do not invent a fresh acceptance timestamp for each draw. You can view your own acceptance receipt and giveaway records in your account.

We use those records to check eligibility and current opt-in before initial or alternate winner selection and again at finalization. A public YouTube comment may be collected during a video scan, but commenting or a prior verified match does not enroll you or override your account choice. Accounts that never opted in or have opted out are excluded from drawings. Opting out stops new entries and excludes existing entries from future drawings without automatically deleting prior consent, entry or audit records or an already-awarded prize claim.

Winner emails are transactional and link to Account → Giveaways. To claim within 10 days of selection, winners confirm their complete recipient mailing address and age. We record the claim and confirmation times, address, selection time, exact deadline, verification status and any forfeiture decision for prize administration. Unclaimed prizes are forfeited at the deadline with no extensions or exceptions; email retries and reminders do not extend it. Necessary claim communications remain separate from marketing preferences. Only a winner's public Rip Name may be announced; mailing addresses, contact details and private acceptance records are not published.

Prior records are retained only for the purposes and periods described in section 6. You can request access, correction or deletion through the privacy contact in section 7, subject to applicable retention requirements. Removing a YouTube comment, opting out of giveaways or unsubscribing from marketing does not automatically erase records needed for an existing prize claim, a dispute or a giveaway integrity audit. Giveaway age limits are distinct from the age rules for other account or store services; the store is not directed to children who cannot legally make an online purchase.

9. Referral records and visibility

Referral records may include referral-link visits, the qualifying tier and current-price reward calculation, Stripe customer-balance credit or debit references, processing errors, reversals, abuse-review flags, administrative reasons, and audit events. The customer referral dashboard shows only the referred person's public Rip Name and a simplified progress status; it does not show their email, billing details, legal name, or Stripe subscription identifiers.

10. Policy updates

We may update this policy when our practices, providers, or legal obligations change. The current version and revision date will be posted here.
